How to manage your emails with notes and organizations

Improve your CRM with Email for Trello’s new contact management tools! Add useful information with notes and sort your contacts with organization groups.

A great email workflow starts with efficient contact management! Email for Trello’s latest contact management release introduces two new features to help you improve your CRM – notes and organizations. Let’s take a closer look at how they work!

Using notes and organizations in Email for Trello

Add notes to contacts in Trello

Now you and your team can  add custom notes to any contact! This is particularly handy for jotting down extra details, requests, reminders for your team members – or any other info that’s relevant to a contact.

Notes are visible from the contact view, and are chronologically arranged alongside all email activity pertaining to that contact. Plus, you can pin any note to fix it to the top of the contact for easy reference.

Add, pin or unpin any note to your SendBoard contact

Whichever way you choose to use them, notes offer greater flexibility and control over your contacts. By making use of notes, you can:

  • Improve team communication. Use notes to keep your team up to date about individual contacts. When everyone has access to the same information, it’s easier to stay on the same page as your colleagues.

  • Up your collaboration game. Add context to your contacts by sharing insights and updates with fellow team members.

  • Make record-keeping easier. Keeping notes maintains a record of past interactions and observations, which can offer useful historical context and inform future decision making.

Sort contacts into organization groups

Contact management becomes even more powerful when you group contacts together into organizations.

Arrange your Email for Trello contacts into organization groups

Arrange your contacts into organization groups

If you’ve assigned an email domain to an organization, Email for Trello will automatically assign new and existing contacts to the correct organization based on their email address. For example, all email addresses ending in ‘petcuts.net’ will automatically be assigned to the ‘Pet Cuts’ organization.

Organization groups are particularly useful for teams that manage email communications across multiple clients or companies. Grouping contacts by organization helps to:

  • Keep contacts organized. Organization groups give you a better overview of your contacts, allowing you to see all contacts associated with a single organization at a glance.

  • Improve knowledge sharing. Team members can see all conversations in the context of a single organization, making it easy to stay up to date and  keep track of the bigger picture.

Stay organized with Email for Trello

Email for Trello’s new contact features are just the productivity boost your CRM workflow needs! By using organization groups and contact notes, you can improve team communication, collaborate more effectively and get more done.
