Your board guests can now use Email for Trello

New! You can now get your Trello board guests involved in sending and replying to emails with Email for Trello. Here’s how to make the most of the new changes to manage your team.


What’s a board guest?

A board guest is a user that is not a member of your Trello Workspace, but that has access to a board in your Workspace. 

Many teams like to add freelancers or contractors as guests because it allows them to collaborate easily, without giving permissions or controls to external co-workers. 

There is also a cost-saving benefit to adding guests to a board, as guests are only billed by Trello once they are part of more than one board in your Workspace.

How can I get the most out of board guests in Trello?

Guests can collaborate like a normal board member, but they can only see the board they’ve been invited to work on. 

Let’s say you’re part of an advertising agency that maintains a Trello board for every client. Your freelance graphic designer is working on one of your client accounts, so you add them as a guest to that client board. 

This means that your freelancer can now see all the relevant client projects, track where each task is at, and collaborate with internal team members to get work done. 

It also means that you circumvent the need to pay for an additional seat in Trello – and you retain privacy as your freelancer can only access the single client board they have been assigned to. It’s a win-win!

Where does Email for Trello come in?

Until now, guests working on boards with the Email for Trello Power-Up enabled were able to view the email conversation, but they were unable to send and reply to emails themselves. 

We’ve changed all that – giving you and your freelancers greater flexibility and powers of collaboration! 

If you’d like your external contractors to be able to jump in on email conversations in Trello, simply add them as a guest in Trello, then increase your team size so that they can authorize the Email for Trello Power-Up.

Email for Trello’s Essential plan allows up to 5 users per board and our Pro plan has no user limit. Note that there is a charge for every active Email for Trello user – whether they are a team member or a guest. However, there is no Trello cost associated with guest users on a single board, so you can make a saving adding your freelancers this way.

That’s it!

Remember, guests assigned to boards using Email for Trello can freely check emails, access conversation history and view attachments – all of which is often really useful for context!

However, if you’d like your board guests to be able to send new emails and reply to open conversations, you can now add them to the Email for Trello Power-Up.
